How to organise the orders that arrive on WhatsApp

Without giving up WhatsApp — which is where your customer already is.

Short answer

WhatsApp stores messages, not orders. A message has no status, does not add up, does not tell the kitchen anything and does not become a report at the end of the month. The fix is to keep WhatsApp as the front door and have one place where the order becomes a record: item, quantity, price, address and where it stands.

    Keep answering on WhatsApp. The moment the customer confirms, record the order in one place. The chat stays a chat; the order becomes a record with item, quantity, price and address.

    Give every order a status

    Received, being prepared, ready, out for delivery, delivered. Without a status, "what about the order for flat 402?" can only be answered by shouting at the kitchen — and the answer changes depending on who answers.

    Let the customer build their own order

    A digital menu link removes most of the typing: the customer picks, the order arrives complete, nobody transcribes anything. That removes the most common source of error, which is copying it down wrong mid-rush.

Do I have to stop using WhatsApp?

No, and you should not — it is where your customers already are and where they feel comfortable. What changes is what happens after "I'll take one of those": the conversation carries on in WhatsApp, and the order starts existing as a record. What if the customer will not use the digital menu?

Can I run it from a phone only?
